Terms of service — Renga
Draft for legal review — not yet the published version (draft 23 Oct 2026)
Effective from: [date]
These terms are an agreement between Joinery Labs ("we") and whoever adds the Renga bot to a Discord server or uses the service ("you"). Adding the bot or using its commands means you accept these terms and the privacy policy.
1. Definitions
- Service: the Discord bot that records meetings in voice channels, transcribes them, writes minutes with AI and delivers them in Discord channels or by DM, plus the related website
- Server: a Discord server the bot was added to. Plans and quotas are per server
- Server admins: members with the Manage Server permission
- Your content: the audio, transcripts, minutes and other data from meetings in your server
2. Beta
During the closed beta the service may change, pause or have errors, and there is no service-level guarantee. Servers invited to the beta get the Pro plan free until [end of beta], and we will give at least [14] days' notice before charging.
3. Using the service
- You must follow Discord's terms
- Only the members your server allows can start recording (set with
/settings recorder-role) - The bot stops recording when the channel is empty, at the maximum length per recording, or when the month's hours run out
4. Server admins' duties
By adding the bot, server admins agree:
- The server decides to record its meetings and is responsible for the meeting content; we process it on the server's instructions
- To tell members in advance that the server records meetings and summarises them with AI, and that the data is processed abroad, in addition to the bot's own notices
- Not to record anyone who doesn't agree, not to hide or delete the bot's notices, and not to get in the way of opting out
- To answer members' requests about meeting content; we will help where we technically can
- Not to use the service in servers whose members are mainly children or students
5. Plans and quotas
| Plan | Price per server per month | Recording hours a month | Audio kept |
|---|---|---|---|
| Free | Free | 2 hours | 7 days |
| Pro | $9 | 8 hours | 30 days |
| Team | $29 | 30 hours | 90 days |
- Hours count the real meeting length, from when recording starts until it stops
- Meetings shorter than 1 minute don't count
- Meetings stopped because of our systems (the bot shutting down or crashing) don't count
- The quota resets at the start of each calendar month, or on the billing date for paid plans. Unused hours don't carry over
- Deleting a meeting doesn't give back its hours
- The bot warns in the channel at 80% used and when 5 minutes are left during a meeting
We may change prices or quotas with at least [30] days' notice, taking effect from the next period.
6. Payment, cancellation and refunds
- Paid monthly in advance by credit or debit card only, through Stripe, renewing automatically until cancelled
- You can cancel at any time. The plan keeps working until the end of the paid period, then goes back to Free
- Paid periods aren't refunded, unless the service was unusable for most of the period because of us
- Prices are what you pay: no tax is added
- Receipts and invoices are issued from the details you provide
7. What you may not do
- Record others without telling them, or against their wishes
- Use the service for illegal content, or to harass, spy on or discriminate against anyone
- Try to reach other servers' data, test our security without permission, or reverse-engineer the service
- Use the service in a way that puts unusual load on it (for example recording empty channels non-stop)
8. Your content
- Your content belongs to the server and the speakers; we don't claim ownership
- You let us process your content as needed to provide the service, including sending it to OpenAI for transcription and summaries
- We don't use your content to train AI models, and we don't sell it or use it for advertising
- We may use anonymous totals (such as hours or the share of 👍/👎) to improve the service
9. Accuracy of AI output
Transcripts and minutes are written by AI automatically. They may be wrong, miss things, or name the wrong owner for a task, especially when audio is unclear or people talk over each other. Review them before relying on them. They are not official meeting records.
10. Third-party services
The service runs on Discord and uses OpenAI. If those services fail or change their terms, ours may be affected. We are not responsible for what those third parties do.
11. Availability
We aim to keep the service running but can't promise it never stops. If the bot stops during a recording, it summarises what was recorded when it is back, and that meeting doesn't use any hours.
12. Limitation of liability
As far as the law allows:
- The service is provided "as is", without any promise that it suits a particular purpose
- We are not liable for indirect damage, lost profits, or damage from relying on wrong minutes
- Our total liability is at most what that server paid us in the 3 months before the event (for the Free plan and the beta, at most [$30])
This doesn't limit liability that the law doesn't allow to be limited, including for intentional acts or gross negligence.
13. Suspension and termination
- You can end the service at any time by removing the bot from the server
- We may suspend or end the service for a server that breaks section 4 or 7, telling you where we can
- Data afterwards: audio is deleted under the plan's retention period. Transcripts and minutes are deleted within [30] days after the bot is removed from the server, unless the law requires keeping them. Minutes already posted in Discord stay in Discord
14. Changes to these terms
We may change these terms by publishing them at https://renga.joinerylabs.dev/terms and telling server admins through the bot at least [14] days before they take effect. Using the service after that means you accept the new terms.
15. Governing law
